Frequently asked questions
Answers to the questions that come up most about features, pricing, and how KinetiqBilling works.
General
How is my organization's billing data kept separate from other customers?+
KinetiqBilling is multi-tenant by design — every organization's customers, quotes, invoices, and payments are isolated at the data layer, with access controlled per organization.
How long does it take to start sending quotes and invoices?+
Most businesses sign up, connect Stripe, and send their first quote or invoice within a few minutes — there's no implementation project required.
Pricing
Is the Free plan actually free forever?+
Yes — the Free plan has no trial period or expiration. It covers quotes, invoices, customer records, Stripe payments, and secure links for as long as you use it.
Can I switch between Free and Pro at any time?+
Yes, you can upgrade to Pro or move back to Free at any time from your billing settings — there's no lock-in contract.
Does KinetiqBilling take a cut of payments in addition to the subscription fee?+
No — KinetiqBilling doesn't add its own transaction fee on top. Stripe's standard card processing fees apply to online payments, the same as they would on any platform using Stripe Checkout.
Is there a cancellation fee for Pro?+
No, Pro is a month-to-month subscription and can be canceled at any time — see the cancellation policy for full details.
Quotes
Is a quote in KinetiqBilling the same as an estimate?+
Yes — KinetiqBilling quotes work the same way an estimate does: a fixed, itemized price you send before work begins. Once a customer accepts, the quote becomes the source of truth for the invoice or invoices that follow.
Can quotes expire?+
Yes. Every quote has a validity date you control. After it passes, the quote is marked expired and can no longer be accepted through the secure link, so customers can't act on stale pricing.
What happens after a customer accepts a quote?+
You choose how to collect: convert the accepted quote into a single flexible invoice, or split it into separate invoices per deposit and milestone. Either way, nothing needs to be re-entered.
Can I set milestones before a quote is even accepted?+
Yes — you define the deposit and milestone structure on the quote itself, so as soon as it's accepted the payment schedule is already in place and ready to invoice.
Invoices
What happens after a customer accepts a quote?+
You choose how to collect: convert the accepted quote into a single flexible invoice, or split it into separate invoices per deposit and milestone. Either way, nothing needs to be re-entered.
Can I create an invoice without a quote?+
Yes. Invoices can be created directly for work that never needed a quote, or generated automatically from an accepted quote — both paths produce the same invoice record with full lifecycle tracking.
Does KinetiqBilling support purchase order numbers?+
Yes, invoices support a PO number field so commercial customers with vendor compliance requirements can match your invoice to their internal purchase order.
How do I know if a customer has seen an invoice?+
Every invoice tracks sent, viewed, and paid status automatically, so you know the moment a customer opens the secure link — no need to call and ask.
Can I track a customer's billing requirements, like whether they need a PO number?+
Yes, each customer record can store billing profile details like preferred payment method, payment terms, and whether purchase orders are required, so commercial billing requirements aren't tribal knowledge.
What's the difference between milestone invoicing and one flexible invoice?+
A single flexible invoice lets a customer pay the current amount due or the full balance from one invoice and link. Milestone invoicing instead creates separate invoices — deposit, progress payments, final balance — each sent and tracked independently.
How do partial payments work on a single invoice?+
An invoice can carry a payment schedule — deposit, progress amount, final balance — and the customer's payment page shows exactly what's currently due, while still allowing them to pay the full remaining balance if they prefer.
Online Payments
What payment methods can customers use online?+
Customers pay by card through Stripe Checkout, with eligible wallets like Link, Apple Pay, and Google Pay handled as part of Stripe's checkout experience. Card and wallet availability can vary by Stripe account, device, and region.
Can I record payments that didn't happen online?+
Yes. ACH, wire, check, and cash payments can all be recorded manually against an invoice, so your accounts receivable stays accurate even when a customer pays outside Stripe.
Is it safe for customers to pay through a link?+
Payment links are secure, tokenized, and can expire — customers don't need an account or password to view and pay an invoice, and card data is handled entirely by Stripe, never stored on KinetiqBilling's servers.
Accounts Receivable
Does KinetiqBilling support purchase order numbers?+
Yes, invoices support a PO number field so commercial customers with vendor compliance requirements can match your invoice to their internal purchase order.
How does KinetiqBilling calculate aging buckets?+
Every open invoice is bucketed by days past due — current, 1–30, 31–60, 61–90, and 90+ — computed automatically from due dates so your receivables dashboard always reflects reality without a manual review.
What happens to partially paid invoices in accounts receivable?+
A partially paid invoice shows its remaining balance in the correct aging bucket — you always see exactly what's still outstanding per customer, not just an all-or-nothing paid/unpaid flag.
Can I see a single customer's total balance across every invoice?+
Yes — the accounts receivable workspace rolls up every open and overdue invoice by customer, so you can see who owes what without opening each invoice individually.
Can I track refunds?+
Yes, refunds are recorded against the original payment and reflected in the invoice balance and customer's net paid total, so your records stay accurate after a refund.
Can KinetiqBilling remind customers about upcoming or overdue payments?+
Yes, Pro plan accounts can send payment reminder emails tied to due dates, so overdue balances get a nudge without you having to track every invoice manually.
Does KinetiqBilling replace QuickBooks or other accounting software?+
No — KinetiqBilling is a billing and accounts receivable workspace, not general ledger accounting software. It's built to be the source of truth for quotes, invoices, and payments, which you can still export or reconcile into accounting software separately.
Does the remaining balance update automatically after a partial payment?+
Yes, the invoice balance, payment schedule status, and accounts receivable aging all update immediately after any payment — online or manually recorded.
How is my organization's billing data kept separate from other customers?+
KinetiqBilling is multi-tenant by design — every organization's customers, quotes, invoices, and payments are isolated at the data layer, with access controlled per organization.
Customer Portal
Is it safe for customers to pay through a link?+

Do customers need to create an account to view invoices?+
No. Each quote, invoice, and statement has its own secure link — customers open it, review the details, and pay, with no login or password required.
Can the customer-facing pages carry my branding?+
Yes, on the Pro plan your logo and business details appear on the customer portal pages and in the emails customers receive, so the experience feels like your business, not a third-party tool.
Does the customer portal work on mobile?+
Yes — the quote, invoice, and payment pages are fully responsive, since most customers open these links from a phone.
Payment Tracking
How do I know if a customer has seen an invoice?+
Every invoice tracks sent, viewed, and paid status automatically, so you know the moment a customer opens the secure link — no need to call and ask.
Can I record payments that didn't happen online?+
Yes. ACH, wire, check, and cash payments can all be recorded manually against an invoice, so your accounts receivable stays accurate even when a customer pays outside Stripe.
Is there a full history of payments against an invoice?+
Yes. Every payment — Stripe or manually recorded — is logged with date, method, and amount, building a complete audit trail for every invoice.
Can I track refunds?+
Yes, refunds are recorded against the original payment and reflected in the invoice balance and customer's net paid total, so your records stay accurate after a refund.

What's a customer statement?+
A statement summarizes a customer's recent invoice and payment activity plus their outstanding balance into a single document you can send — useful for commercial customers who reconcile their AP against your account periodically.
Can I see every quote and invoice a customer has ever had?+
Yes, each customer record keeps a full history of quotes, invoices, payments, and account activity in one place, so answering "what have we billed this customer" never requires searching.
Can I track a customer's billing requirements, like whether they need a PO number?+
Yes, each customer record can store billing profile details like preferred payment method, payment terms, and whether purchase orders are required, so commercial billing requirements aren't tribal knowledge.
