How to Track Unpaid Invoices

A step-by-step approach to keeping a real-time view of every unpaid invoice without falling back on a spreadsheet.

Every service business ends up with a handful of unpaid invoices at any given time — that's normal. The problem isn't having them; it's not knowing which ones need attention until a customer calls asking why they're getting a collections notice.

1. Age every invoice automatically

Manually recalculating which invoices are overdue, and by how much, doesn't scale past a handful of open invoices. Aging needs to be computed from the due date on every invoice, continuously, not recalculated by hand once a week.

2. Roll balances up by customer

A list of invoices sorted by date is less useful than a list of customers sorted by what they owe. One customer with three small overdue invoices is a bigger collections priority than three unrelated customers each with one.

3. Review on a fixed cadence

  • Weekly: scan the 1–30 day bucket — this is where a quick reminder prevents an invoice from aging further.
  • Monthly: review 31–90+ day balances and decide on next steps for each.
  • Immediately: follow up on any invoice that crosses from current into overdue for a high-value customer.
